Expenses and bills
Entering bills and claims, approvals, and paying people back. Part of Margin Books.
- How do I enter a bill or an expense?Click New expense (or Daily → Submit expense).
- Does Margin read the bill for me?Yes. Attach the bill and Margin reads it and fills in the vendor, amounts, GST, invoice number and date.
- Margin says the cost head's budget is exhausted. What now?Margin checks every expense against that month's budget for its cost head, and stops one that would go over it, including when no budget has been set.
- Where do I see every expense?Daily → All expenses, with totals at the top (net payable, taxable, and what is still being approved).
- Who approves expenses? It depends on the amount, set in approval rules.
- How do people claim money back?In Expenses → Mine, click New expense, choose My reimbursement, attach the receipt, and submit. It goes to an approver, then waits to be paid.
- How are claims paid?Approved claims wait in Daily → Payout queue. They are paid either with the next salary (they appear on the payslip) or in a separate payment run.
- Can Margin enter a monthly bill for me?Yes. In Reference → Recurring, set up the bill once: company, cost head, vendor, amount, how it's paid, how often (monthly, quarterly or yearly) and on which day.
- The vendor isn't in Margin. Can I still enter the bill?Yes. While entering it, ask for the vendor to be added.
- How do I record a credit or debit note from a vendor? In Compliance → Credit/Debit Notes, click to add one: credit note (the vendor reduces what you owe) or debit note (you charge the vendor), the vendor, number, date, amount, GST and cost head, the original invoice and the reason.
