How do I approve a stock and debtors statement?

Check the drawing power and click Approve. The same people approve as for certificates: admins and those who can lock months. The month must be locked first ("September 2026 isn't locked. Lock it on the month close page, then approve the statement."), and Margin reads the books again as you approve: if trade creditors, debtors or the outstanding changed since the stock was typed in, it shows the new drawing power to check, and you approve again.

Once approved, the statement keeps the figures you approved, and with Galley, Margin sends it to your data room. To change the stock, someone who can approve clicks Reopen; Galley keeps the approved one until it's approved again.

Each month shows where it stands: To do (the stock isn't typed in), Draft, Overdue once its due day has passed, Approved, or Can't be worked out, with why (no sanctioned limit, no Trade payables account, or the opening balances not in the books yet). Until it's approved, admins and finance get a reminder 5 days before the due day and another on the day, from 9:00 India time, in the app and by email.

Download draft (Excel), or Download (Excel) once approved, gives the statement for the bank on one sheet: each figure with where it comes from, "We certify that the stock above is as at" the month's end, and lines for your signatory.
